UNIT ASSISTANT

Job Description

  • organising and coordinating executive appointments according to schedules;
  • preparing documents such as reports, notes, presentations, minutes of meetings and coordinating the document flows;
  • coordinating the flow of work in liaison with other staff members, units, and departments;
  • organising meetings and workshops – planning agenda and logistics, collecting input, liaising internally;
  • organising events and liaising with contractors and third parties for the events;
  • collecting input from various parts and consolidating them in a coherent manner;
  • updating unit and sector intranet pages and performing any other tasks that come up.

Requirements

  • a level of post-secondary education attested by a diploma;
  • minimum 4 years of working experience in the same field;
  • ability to work under pressure and respond to changes in a rapidly evolving work environment;
  • ability to exercise professional discretion in a highly confidential work environment;
  • supportive and helpful personality, with co-operative and service oriented attitude;
  • good communication and interpersonal skills;
  • ability to cooperate smoothly in the multicultural environment;
  • very good English language skills;
  • Estonian language knowledge is considered as an asset.
