Job Description
The Office Assistant at ZA/UM merchandising department plays a crucial role in the smooth operation of our Atelier brand. This position involves a blend of logistical management, inventory oversight, and communication.
- 30 hours per week
- Hybrid role
- 3-4 times a week in Tallinn office, occasional home working
- 6 hrs p/d including 30mins lunch.
Responsibilities:
- Inventory & Warehouse Management
- Track and record all incoming and outgoing materials in our warehouse/manufacturing software.
- Ensure stock levels (both raw materials and finished products) are up to date and organized.
- Assist in optimizing the use of our warehouse system for better material tracking.
- Production & Material Preparation
- Prepare materials for manufacturing (e.g., cutting, sorting, or organizing according to product recipes).
- Assemble materials before sending them to manufacturers.
- Work closely on quality control, labeling, and short-term storage of products.
- Logistics & Production Support
- Coordinate and handle urgent material deliveries within the city.
- Assist in responding to last-minute manufacturer requests.
- Customer Service & Order Management
- Respond to customer inquiries via email in a professional and timely manner.
- Assist customers with order updates, shipping issues, and general product questions.
- Work closely with our shipping partner to resolve delivery-related concerns.
- Administrative & Office Support
- Help with website updates (e.g., updating product availability, small content changes).
- Assist in creating necessary paperwork related to production, orders, inventory, and shipping.
- Help document processes and create necessary manuals to improve workflow and ensure consistency.
- Optional: Product Development Participation
- For those interested, there’s an opportunity to be involved in product development.
- Assist with sourcing materials, brainstorming new product ideas, or improving existing designs.
