Job Description
An international NGO is seeking applications from qualified candidates to fill a full-time position of Program Assistant in its Tallinn office. The Program Assistant will play an important role in driving program operations, focusing on both communication and documentation efforts. This would include analysis of reports from external contributors on a program development, preparation of structured agendas and questions for meetings as well as drafting concise summaries of those. Acting as a key contact for partners, the role entails auditing NGO requirements and aligning those to partners’ capacity, issuing timely reminders on reports and tasks, and other accurate updates related to project implementation.
Key Responsibilities:
The Program Assistant position involves providing support for program activities, including planning, coordination and administrative duties including:
- Tracking and analyzing media content to evaluate alignment with programmatically set objectives;
- Working with AI resources to gather and interpret qualitative data, identifying trends and actionable insights;
- Employing research methods to support projects, prepare comprehensive reports, and present findings effectively;
- Facilitate effective communication and collaboration between internal departments and external partners to ensure seamless project execution;
- Recognizing and adapting to changes in project workflows and priorities, ensuring consistent alignment with set objectives;
- Assisting with the development of project concepts, timelines and budgets;

- Educational background in sociology, media studies, political science, or a related field;
- Familiarity with social media platforms, monitoring tools, and digital content analysis;
- Ability to work methodically, with a structured approach to tasks, ensuring thorough attention to detail;
- Adaptability (Comfortable in a fast-paced, evolving work environment);
- Fluent in Russian and English, with excellent communication skills in both languages;
- Experience using AI tools or willingness to learn and adapt to emerging technologies;
- Interest in international affairs, politics, journalism and media;
- Experience working with web development projects and working with engagement analytics;
- A strong team player who thrives in a collaborative environment, contributes positively to team dynamics, and fosters a supportive and communicative workplace while also being capable of working independently when needed.
