We are looking for an assistant to join our team who will help ensure the smooth functioning of the direct supervisor's work and assist also with personal matters.

About Us: We are a world-renowned permanent makeup academy based in Tallinn, Estonia, known for transforming ordinary individuals into top-tier permanent makeup artists. Our mission is to create permanent makeup artists who don't just work but conquer the industry, becoming true stars in their field!

Responsibilities:

  • Managing the supervisor’s work and personal calendar, planning tasks in Asana, and integrating them into the overall schedule;
  • Communication with clients (4-5 clients per week): scheduling procedures, providing preliminary consultations, and communicating with clients via phone, messaging apps, and email, preparing them for procedures, and organizing related tasks (data storage, payment processing, and keeping ongoing records);
  • Preparing the procedure room and maintaining general order; checking supplies and ordering additional items when necessary;
  • Communicating with partners and monitoring the completion of tasks assigned to them;
  • Creating text documents and spreadsheets, assisting with the preparation of other materials (e.g., presentations) + managing the documentation storage;
  • Translating texts or arranging translations (mainly in Russian and English);
  • Searching for necessary information, new suppliers, or other relevant data;
  • Assisting with the organization of local and international events. Preparing necessary documents and materials for business trips. If needed, assisting during trips;
  • Assisting with photo and video shoots, both before, during and after. If necessary, filming background footage using a phone;
  • Performing personal tasks and duties, such as booking restaurants, scheduling appointments with doctors, hairdressers, etc.

Requirements

  • Work experience in a similar position – assistance, administration, etc.;
  • Excellent proficiency in English and Russian (mandatory!);
  • Ability to work with English texts: fast typing, translation when necessary, spell checking, etc.;
  • Ability to work with texts and visual materials using various applications: MS Office, including PowerPoint, Google apps, social media, etc.;
  • Systematic approach, good memory, and organizational skills;
  • Time management skills, passion for planning and control;
  • Ability and skill to manage multiple tasks at once while being attentive to details;
  • High sense of responsibility and stress tolerance;
  • Mobility, proactivity, and high adaptability to new situations;
  • Good communication skills and openness to people;
  • Driver’s license;
  • Willingness to take on various tasks to free up the supervisor's time.
