Executive Assistant / Studio Manager

We are looking for an Executive Assistant / Studio Manager to join us full-time at Studio Malm, a globally recognized tattoo studio. You’ll be supporting studio owners Torsten & Kätlin Malm as their executive assistant while managing studio operations and helping drive exciting international projects forward.

Studio Malm is located in the heart of Tallinn, in Rotermanni kvartal. At the moment we have 4 full time artists as well as occasional guest artists from around the world. Our owners do travel a lot and we need all hands on deck also while they are gone as well as handling bigger projects that need managing.

Main responsibilities and tasks:

• Ensuring smooth studio operations: keeping track of inventory, product orders, and operational systems, as well as managing client communication, emails, scheduling appointments, and maintaining professionalism, morning studio setup and basic cleaning before opening.
• From simple tasks, such as running errands, or dog sitting for a few hours here and there, all the way to handling more complex business projects: Be ready to pivot and tackle a variety of different tasks, the job can fluctuate between hectic and slow-paced—maintain a "let’s give it our best" attitude in all situations.

Non-Negotiables:

• Fluent in Estonian & English
• 100% trustworthy
• Adaptivity (Swiss army knife mode)
• Positive attitude, driven, and ready to learn
• Good social skills
• Excellent computer skills, including the ability to quickly learn and use new programs and systems if necessary 
• B-category driver's license

• Work schedule 9-17 or 10-18, we can discuss more during an interview, and we are flexible in figuring out a timetable that works best for both parties. The main point is to get the job done.
