Back Office Support Specialist

to our new back office team in Tallinn, Estonia

We are in search of a committed individual to deliver extensive support to our esteemed customers, guaranteeing a smooth and gratifying experience. Your crucial role will involve streamlining business operations, such as correcting invoices, managing orders, and providing precise customer-specific reports. Additionally, you will handle vital duties in customer contract management, including processing payment instrument applications, addressing related inquiries, onboarding customers for company payment instruments, and overseeing customer data and lifecycle. You will be responsible for ensuring that payment instrument contract administration adheres to all legal guidelines and payment constitution permissions, while liaising with customer representatives and internal partners at Neste. Effective collaboration is key, as you will be working in tandem with teams across Sales, Customer Service, Invoicing, Credit Control, KYC, and Solution Support. Your main focus will be on managing operational tasks related to the order-to-cash process and maintaining efficient contract management processes for payment instrument customers in Finland and other Marketing & Services markets.

Your role in our team

  • Assisting Sales and Account Managers.
  • Administering orders, correcting invoices, managing reclamations, and effectively resolving customer issues.
  • Overseeing customer-related tasks in payment instrument contract processes (processing applications, managing contracts, onboarding customers, etc.).
  • Accurately maintaining contract prices and customer information.
  • Contributing to the development of payment instrument contract processes.
  • Guaranteeing efficient daily operations in payment instrument processing.
  • Supervising credit control alerts and executing required measures.
  • Producing customer reports and statistical data.
  • Communicating with customers regarding the aforementioned subjects in Finland and other Marketing & Services markets.
  • Performing additional customer care tasks as assigned.

Requirements

Keys to success in this role

  • Higher education qualifications.
  • Experience in back-office operations is beneficial.
  • Proficiency in spoken and written English; Finnish or Estonian fluency is desirable
  • Strong IT skills, including Google office tools proficiency; MS Dynamics/365 familiarity is a plus.
  • Demonstrated responsibility and proactive attitude.
  • Willingness to learn and adapt to new tasks and technologies.
  • Skilled in prioritizing tasks and managing time efficiently.
  • Outstanding teamwork and communication abilities.
  • Self-motivation and the capacity to work autonomously.
  • Competence in performing routine tasks with patience and precision.
  • Sharp focus on numerical accuracy and a detail-oriented mindset.
