ADMINISTRATIVE SPECIALIST (STAKEHOLDER AND EVENT MANAGEMENT)

Job Description

  • Consulting to organise support to stakeholder management, including with EU Institutions, Agencies, authorities, the academia, international organisations, NGOs and others as needed;
  • Preparing and supporting the visits of groups and high level visitors to the agency;
  • Following developments in the justice and home affairs policy domain in the EU;
  • Coordinating the work with team members, other Units and Departments, as well as with external parties and managing of document flows including launching workflows;
  • Organising and coordinating meetings, seminars and workshops;
  • Participating in the planning, implementation, monitoring and reporting processes of the Sector; providing advice and support regarding legislative and policy files of relevance;
  • Managing databases and archives, storing documents according to the procedures in place;
  • Drafting and presenting reports, notes, letters, presentations and minutes of meetings;
  • Editing and reviewing internal and external reports, including statutory reports on the functioning of the IT systems managed by eu-LISA.

Requirements

  • Citizenship of an EU Member State;
  • University degree or secondary education;
  • Minimum of 4 years of relevant professional experience of which minimum 3 years of experience in stakeholder and/or event management or related field;
  • Ability to work under pressure and respond to changes in a rapidly evolving work environment;
  • Ability to exercise professional discretion in a highly confidential work environment;
  • Good communication and interpersonal skills;
  • Ability to cooperate smoothly in the multicultural environment;
  • Advanced level of English.
