ADMINISTRATIVE SPECIALIST (EVENT AND MEETING MANAGEMENT)

Job Description

  • Event/Meeting Management, Contract and Document Management;
  • Provide comprehensive expert preparation, organization, and support for meetings of the Management Board, Programme Management Boards, Advisory Groups, and other governance bodies across various agency locations;
  • Prepare and distribute key documents such as reports, notes, letters, presentations, and meeting minutes to ensure comprehensive communication and record-keeping;
  • Offer contract management consultancy by liaising with counterparties, drafting Requests for Services, and ensuring compliance with contractual obligations to optimize project delivery;
  • Manage and coordinate appointments and meetings for specific sectors and units;
  • Plan and participate in events, seminars, and workshops, ensuring they align with organizational goals and run smoothly;
  • Provide ongoing support to external stakeholders, ensure continuous and effective communication with stakeholders.

Requirements

  • Citizenship of an EU Member State;
  • University degree or secondary education;
  • Minimum of 4 years of relevant professional experience of which minimum 3 years of experience in event management or related field;
  • Ability to work under pressure and respond to changes in a rapidly evolving work environment;
  • Ability to exercise professional discretion in a highly confidential work environment;
  • Good communication and interpersonal skills;
  • Ability to cooperate smoothly in the multicultural environment;
  • Advanced level of English.
